Get Involved

You can get involved in STC at the chapter level in a variety of ways:

  • Learn about your peers, potential employers, and consulting opportunities by attending monthly meetings.
  • Improve your public speaking skills by presenting a topic at a chapter meeting.
  • Become an officer
  • Join a committee
  • Become a mentor. Share your experience with a student member or learn from a peer.

Officer Positions

Elections are held once a year in the Spring. Terms take effect on July 1. These are one-year terms.

President

The responsibilities of the chapter president include the following activities:

  • Conducts regular meetings (at least 3-5 per year) of the administrative council, other elected officers, past president, program, membership and WWW committee managers.

  • Works with the administrative council to develop chapter goals for the year and ensure their accomplishment.

  • Ensures other officers understand their duties and responsibilities.

  • Works with the vice president or program committee manager to set schedules and topics for upcoming meetings.

  • Appoints special assistants or committees for specific tasks not covered by the standing committees.

  • Reviews contents of chapter newsletter prior to publication.

  • Reviews budgets and expenditures with the treasurer.

  • Writes standing column for the newsletter (or alternates with other officers).

  • Leads in formation of policies for the chapter.

  • Maintains contact with committee managers to obtain status reports and give necessary support.

  • Submits a report describing chapter activities to the director-sponsor prior to each Society Board of Directors meeting.

  • Provides historical information from term to succeeding person.

Vice President

The responsibilities of the vice president include the following activities:

  • Coordinates the maintenance of the Central Illinois Chapter Operation Manual.

  • Helps formulate, establish and execute long and short term goals.

  • Assumes responsibility for regular meeting program scheduling, topic selection and location in the absence of a program committee manager.

  • Assumes the duties of the president when the president is unavailable.

  • Performs other duties as assigned by the president.

  • Provides historical information from term to succeeding person.

Treasurer

The responsibilities of the treasurer include the following activities:

  • Prepares budget at the beginning of the chapter year, and updates expenditures against the budget as the year progresses.

  • Maintains checking account for chapter.

  • Deposits chapter funds and pays invoices.

  • Prepares quarterly report of income and expenditures.

  • Completes and signs a year-end report for the STC treasurer on a form provided by the STC office.

  • Mails year-end chapter financial report to the STC Treasurer as soon as possible after June 3.0

  • Performs other duties as assigned by the President.

  • Provides historical information from term to succeeding person.

Secretary

The responsibilities of the secretary include the following activities:

  • Takes minutes at administrative council and other chapter meetings (or arranges for a substitute).

  • Prepares and distributes copies of minutes to administrative council.

  • Prepares correspondence related to chapter business, such as meeting announcements, at the direction of the administrative council.

  • Performs other duties as assigned by the president.

  • Provides historical information from term to succeeding person.

Standing Committees

Committee managers are not elected positions, and all chapter members are encouraged to volunteer for these positions or to assist with the activities of committees. The program, membership, and WWW committee managers, or their designates, will be asked to attend the administrative council meetings.

Program Committee

We're always looking for help to plan, organize, and run the monthly meetings. No task is too small: greet your peers at the door, prepare awards, arrange for catering, help plan a location or a speaker, choose a topic, etc. Contact the program committee manager.

The program committee manager:

  • Works with the administrative council to develop a budget for committee activities.

  • Determines the year's slate of monthly meeting topics and dates with input from the administrative council.

  • Schedules meeting speakers and locations.

  • Provides details of each meeting to the newsletter editor and secretary early enough for the program description to be publicized to members at least one week in advance of the meeting date.

  • Provides log sheet for each chapter meeting to record names, membership status and phone numbers for meeting attendees.

  • Reports number of attendees to newsletter editor and provides names and phone numbers for nonmembers to the membership committee manager for follow up.

  • Schedules at least one joint activity per year with another communication group or chapter.

Membership Committee

Help update and maintain our mailing lists. Help us provide new and potential members with Chapter information. Contact the membership committee manager.

The membership committee manager:

  • Works with the administrative council to develop a budget for committee activities.

  • Receives and processes member applications and maintains membership file.

  • Develops a chapter brochure for an information packet to be distributed to new and prospective members.

  • Contacts new members and provides information packet on the chapter and STC.

  • Provides new member names to the newsletter editor and WWW committee manager.

  • Maintains a complete and up-to-date mailing list of prospective members.

  • Obtains mailing labels for meeting announcements from STC office.

  • Organizes a membership drive activity during the October to December period.

WWW Committee

Help create and update content on this web site. Contact the WWW committee manager.

The WWW committe manager:

  • Assumes responsibility for maintaining chapter home page on Prairienet.

  • Forwards mail received at alias to administrative council and appropriate committee managers.

  • Recruits other members to assist with home page development and maintenance.

  • Collects and posts job leads from employment manager.

  • Works with newsletter editor(s) to put issues on-line.

  • Maintains a membership recognition link.

Employment Committee

  • Serves as Society liaison for employment opportunities.

  • Receives information on job leads and forwards to newsletter editor, WWW committee manager and chapter president.

  • Distributes information to membership about International conference employment booth.

Refreshments Committee Manager

  • Works with the administrative council to develop a budget for committee activities.

  • Works with the program committee manager (or vice president in absence of program committee) to determine refreshment needs for meetings

  • Provides refreshments within budget determined by treasurer and vice president.

Nominating/Tellers Committee Manager

  • Directs a committee of three to five members.

  • Conducts preliminary planning session to assign responsibilities, establish deadlines, and distribute copies of the membership roster.

  • Sets schedule for nomination solicitation, collection and slate distribution as specified in the STC Bylaws.

  • Recruits perspective candidates and provides list of officer responsibilities.

  • Advises administrative council of potential candidates who are willing to run for an office.

  • Announces the slate of candidates in the newsletter and on the WWW page.

  • Prepares the ballots.

  • Distributes ballots prior to election meeting.

  • Collects ballots and counts votes with other committee members.

  • Reports results to the administrative council and chapter.

  • Provides official results to out-bound president for reporting to the STC office and director-sponsor.
